Companies are one of the main parts of the OLOTech Web software. They include customers, suppliers and general companies.

Company from which orders are received and invoices are sent
Supplier
Companies that furnishes products, components, fabrics, labours and other services (including sales representatives and contractors). The OLOTech Web software licence owner company must be a supplier
General
Any other generic company (press and media, government)
Code: The company code.
Company name: The Company name.
Web page: The company web page, if available.
Email: The Company contact email, if available.
Telephone 1: Phone number.
Telephone 2: Phone number.
SIM number: Mobile device internet mailing address.
Fax: Fax number.
Contact language: Indicate the contact language of the company. All invoices, cutting slips and purchase orders will be issued in this language.
Type: The company type: General, Customer and Supplier.
Category: User defined sub-category for the company type.
Territory: User defined territory for the company.
Main address: Companys main address.
Comments
Wildcards are enabled on company code.
This screen allows you to create a new company. Fill the desired values and press on save.
The available fields change with the company type; General, Customer, Supplier. Be sure to select the correct type prior of entering specific information.
A parent company should be another customer without a parent company.
Use this screen to change any of the basic company information.
This function deletes an unused company. If the company has been used, inactivate it instead by editing it.
The function allows you to import every kind of companies
You can import a file in text (tab separated) or in Excel format.

Template download
From a single company or from a search result, select this function to export the information to multiple formats. Check all the information you want to export. If you dont export the company header, a mini-header will be exported to identify the other information.
Format: Tab separated: Use this function to place tabulation between each fields. This format is easily usable in Excel.
Format: Merge: Use this format to use one line per product. Select the repeating field separator for fields that contains multiple information. This is usable in Word and other word processing software.
This function allows you to perform batch modifications on your selection or on all companies. You can also manipulate saved sets for searches and mailing lists.
This screen holds all the information linked to a company, as well as the specific information for suppliers or customers and personalised fields. Company contacts and notes are also available in this screen.
This section holds the basic information related to a generic company as well as contacts names.
This section holds the basic information related to a customer as well as the sales representatives.
Parent company: The companys parent company (ex.: head office), if it exist.
Currency: The customer buying currency
Default selling price category: The customer preferred price category.
Default global discount: The customers global discount for orders.
Credit limit: Companys credit limit
Start date: When the company was added to the OLOTech Web software.
Tax applicable: The tax group applicable for this customer.
Default term: The default term for the customer.
Default shipment method: The default shipment method
Federal Id: The customers federal Id
Warehouse: When the warehousing is enabled, indicate to which warehouse the customer is associated.
Accounting address: The customers accounting address.
Shipping address: The customers shipping address.
The sales representatives are individuals from a supplier company. They sell the products to customers and have a commission rate.
To add a sales representative, enter its company code. On the selection of a valid code, the list of available company individuals will be available. Select the commission rate from the user defined list and press save.
This function modifies the selected sales representative. You can change the individual linked to the sales representative company, change his commission rate and/or inactivate it.
If the sales representative has not been used and you want to delete it, select this option. Upon confirmation, the sales representative will be deleted.
This section holds the basic information related to a supplier company.
Tax applicable: The tax group applicable for the supplier
Tax Id 1: First tax account identifier
Tax Id 2: Second tax account identifier.
Currency: The suppliers currency.
Reduce payment of X if done before Y days: The terms default reduction.
Include in T5018 slip: Indicate whether the statement of contract payments should be included.
Warehouse: When the warehousing is enabled, indicate to which warehouse the supplier is linked.
Accounting address: The suppliers accounting address.
Shipping address: The suppliers shipping address.
Contacts are individual linked to the company. There are three kinds of company contacts: main, billing and shipping contact. For general companies, only Main contact is available.
Add
This function opens the screen to add an individual. The company information will be filled and upon saving, youll get back to the company page.
You can add, remove or change a note attached to a company.
This function allows you to create an e-mailing list of companies and customers from your company search selection. The number of companies in your selection and of individual linked to those companies is displayed. The number of valid recipients is also displayed.
You must upload a valid text file or html file to create the mailing list.
You can preview the available template files (if any) by using the button, or delete old files.
Once created an uploaded, the template files will be kept for all future mailing, until they are deleted.
The template files that you create can contain tags. Those tags will be replaced by the information related to the individual or to the company. If there is no information available, the tag will be removed from the email.
For example: [WPM_CompanyName] will be replaced with the company name of the individual or the company that you are mailing. If more than one company is selected, the company name will change to display correctly in the different emails.
For a better efficiency, name your file with an appropriate description.
On a valid template selection, the email title and note updates will be set to the template file name.
From: Mandatory. If the user has an individual linked to its account, the individual email will be proposed. If not, the system company email will be proposed. Optionally, you can use aliases.
Aliases use the format: Three words alias <email@provider.com>
Cc: A carbon copy for all the messages sent. The Cc recipient will receive as many emails that are sent.
Bcc: A blank carbon copy. Same as Cc.
Add note to company: An optional note added to the companies that receives an email.
Add note to individual: An optional note added to the individual that receives an email.
Removed companies from saved set: To avoid mistakes and to avoid being identified as spam, we limit the number of emails sent in one shot. When you need to send emails to numerous recipients, you should add them to an empty saved set (using the batch menu). Selecting this option will remove the companies from the saved set as they receive emails. This ensures that no companies or individuals received an email twice.
The confirmation will display the number of emails to send. If you select proceed, a message will appear indicating the number of email sent. If this number is below the total number of email to send, you should start another emailing on the companies that didnt receive the email. Use the saved set for a better efficiency.
